WEB-BASED THESIS AND CAPSTONE ARCHIVING SYSTEM FOR MAKILALA INSTITUTE OF SCIENCE AND TECHNOLOGY (MIST)

Managing and accessing finished thesis projects is a daunting task for research and capstone coordinators at the Makilala Institute of Science and Technology (MIST). The conventional approach of storing these projects in physical archives often leads to significant delays, as the sheer volume of completed projects makes the archiving process time-consuming. Verifying whether a project title already exists is crucial for timely approval, yet remains a challenge. This study aims to tackle these problems by creating a web-based thesis and capstone archiving system designed to make easier the project management at MIST. The primary objectives of this study were (1) to establish an efficient repository for the organization and storage of thesis projects, (2) to automate the title approval process with a searchable database that enables quicker decision-making, and (3) to enhance response times for student inquiries related to their academic projects. To evaluate the system’s effectiveness, a questionnaire was distributed to ten (10) respondents, including one (1) research director, three (3) research coordinators in each department, two (2) randomly selected college students, and ten (10) instructors and four (4) IT experts. The results demonstrated a positive impact, with users reporting significant improvements in (1) the functionality of the repository for managing completed thesis projects, (2) the organization of the automated title approval process, and (3) the speed of responses to student inquiries. This innovative archiving system not only simplifies project management but also look after to a more responsive academic environment which eventually improves the general educational experience for students and faculty alike. KEYWORDS:  Archiving System, Capstone Projects, Thesis Management, Title Approval Process, Repository
